Ecommerce Controls

Overview:

The Ecommerce Control settings enables ecommerce capabilities in Counterpoint and control various defaults and settings for items, customers, orders, shipping methods, and more. This document includes field-by-field details of Counterpoint's ecommerce control screens. Recommended settings will be shown in screenshots and called out in tip sections.

Before You Get Started

  1. Before you start setting up your NCR Counterpoint system, there are a few things you need to know. Before configuring anything in your ecommerce control file, it is STRONGLY recommended that you contact your Counterpoint partner about creating a new store, station, and drawer specifically for ecommerce. This will make things much easier for you when it comes to reporting your ecommerce sales, finding orders and transactions, and tracking down orders.
  2. You will need to make a web template customer for your ecommerce customers.
  3. Tax codes will need to be designated specifically for ecommerce.

Setting Up Ecommerce Control

Counterpoint: Setup / Ecommerce / Control

To set up ecommerce controls, select Setup / Ecommerce / Control, in your Counterpoint system. The settings under this section will only affect your ecommerce store.
It is recommended before you get started that you set up a new store, station, and drawer for your ecommerce locations. Having this done will allow you to keep ecommerce transactions seperate in your Counterpoint system, as well as many other benefits. If you need assistance with this, pleasde contact your Counterpoint partner.

Main

On the Main tab, enable ecommerce and define where ecommerce controls will be applied.

Use Ecommerce

To enable ecommerce functionality in Counterpoint, check the box labeled Use Ecommerce.

Ecommerce directory

This read-only field displays the full path of your NCR Retail Online publish files directory.
 
TIP: Click on the directory name to open the directory. You should create a shortcut to this directory on your desktop.

Store

Specify which store will correspond with your online store. This store will be used for all ecommerce processing. Only items stocked at the store entered here will be available to publish to your online store.
In a Multi-Site installation of Counterpoint, only one specific site should handle NCR Retail Online operations (this includes publishing data to NRO and getting data from NRO).
 

Default ship-from location/Default price-from location

The default ship-from and price-from locations for the selected store display here and can not be changed. The store's ship-from and price-from defaults are specified in Setup / Point of Sale / Stores.

TIP: Make sure that the store is set to use miscellaneous charge 1 by checking Use misc charge 1 on the Misc Charges tab in Setup / Point of Sale / Stores. NCR Retail Online shipping charges are recorded as Misc Chg 1.

Default publishing code

Enter the default publishing code to use when publishing data with Ecommerce / Publish. Initially, you may wish to leave this blank, and fill it in after you have defined at least one publishing code. Learn more about publishing codes in "Publishing Ecommerce Data.”
 

Next publish file #

Counterpoint creates a new file with a sequentially assigned number every time you publish ecommerce data. We recommend you initially set the file number to 1 in order to ensure room for subsequent file numbers.
 
 
 

Items

On the Items tab, define how item information from Counterpoint will be published to NCR Retail Online.
 
Items
 

Name

Specify which item description NCR Retail Online will use for the item name in your online store.

Select Description, Short description, Long description, or Additional description 1, 2, or 3. Enter or edit descriptions on the Descriptions tab in Inventory / Items.

TIP: Use Additional description 3 to accommodate up to 80 characters for your ecommerce names. IF you already have names in the Description field, they will default into Additional description 3 until you replace it.

Default image (Items)

This setting is obsolete, for NRO. Please review the Create multiple images for an item article for specifics about image naming conventions.

Qty Available

Specify how to determine the available quantity for an item:

  • Item qty available: Total of all inventory quantities across all locations, minus any inventory already committed
  • Item qty on hand: Total of all inventory quantities across all locations
  • Location qty available: Inventory quantities from the Store indicated on the Main tab , minus any inventory already committed
  • Location qty on hand: Inventory quantities from the Store indicated on the Main tab

Reference

Define an item prompt to collect additional information (such as a monogram) from the customer when they purchase an item. Item prompts 1, 2, and 3 are mapped to Prompt codes 1, 2, and 3 on the Other tab in Inventory / Items.

Select Item prompt 1, Item prompt 2, or Item prompt 3, or leave <blank> for None.

TIP: You should only publish alpha type item prompt codes to NCR Retail Online. NCR Retail Online allows alpha entry at the item prompt, and you would encounter errors if you imported an order containing alpha characters for a numeric item prompt.

Units allowed

Specify the units of an item that online shoppers can purchase:

  • Stocking only: To allow the purchase of stocking units only
  • Preferred only: To allow the purchase of preferred units only
  • Multiple units: To allow the purchase of all units

Vendor source

NCR Retail Online shoppers can view and search for merchandise by vendor (i.e., "brand”) in your storefront. You can specify the Counterpoint data source to use as the vendor to display in your storefront.

Select Vendor name, Primary vendor, or one of six Item attribute fields, five Alpha profile fields, or five Code profile fields. If your Vendor is your supplier, you should set up an item profile code into which you'll enter the "Brand" for your items. To enable an item profile code, in Counterpoint, go to Setup / System / Quick Setup. Find the first available alphanumeric profile code and enable it by placing a checkmark in its checkbox. Then, change the Display label to Brand. Finally, in the Ecommerce Control file, indicate the item profile code that was enabled for BRAND. Now, all of your item records will display a field labeled BRAND, on the profile codes tab.

Default image (Categories)

This setting is obsolete, for NRO. Please review the Creating Categories in Counterpoint article for specifics about image naming conventions for categories.

Charge tax-1, 2, and 3

Specify how ecommerce items are taxed:

  • Item ‘is taxable' flag: This is intended to charge tax based on the Taxable flag on the Main tab of Inventory / Items. 
  • Yes (tax all items): To charge tax on all items
  • No (do not tax any items): To not charge tax on any items
  • Item ‘ecommerce tax-1 flag': To charge tax based on the ‘charge tax' flags on the Ecommerce tab of Inventory / Items

Prices

On the Prices tab, configure the item prices that are published to your online store. You configure both the Selling price and the List price.

TIP: We recommend that Selling Price be set to Calculated Price. That affords you the ability to publish sale pricing form Counterpoint to NRO. If your Selling Price is set to Calculated Price and your items aren't on sale, then the published selling price will default to the Price-1 field. We recommend List Price be set to the Price-1 field. Learn more about working with prices in Setting up Ecommerce Items.

Field-Level Details Selling price

The selling price is the price a shopper will actually pay for an item. Calculated prices are based on pricing defined in Inventory / Prices.

WARNING: Calculated prices are always calculated based on a quantity of one.

Discount method (Selling price)

Specify whether to discount or mark up the selling prices for items in your online store:

  • None: To leave the selling price as is
  • Discount: To apply a discount to the selling price
  • Markup: To mark up the selling price

Percent (Selling price)

Enter a percentage to discount or mark up the selling price.

TIP: This field is only enabled if the discount method is Discount or Markup.

List price

The list price is typically the retail price of an item.

Select Calculated price, Price-1, 2, 3, 4, 5, 6 or Regular price.

TIP: Calculated prices are always calculated based a quantity of one.

Discount method (List price)

Specify whether to discount or mark up the list prices for items in your online store:

  • None: To leave the list price as is
  • Discount: To apply a discount to the list price
  • Markup: To mark up the list price

Percent (List price)

Enter a percentage to discount or mark up the list price.

TIP: This field is only enabled if the discount method is Discount or Markup.
 
 

Member Pricing

Member Pricing is not available at this time. Please refer to NCR Retail Online Releases to be informed when this feature becomes available.

Customers

On the Customers tab, define how Counterpoint will share customer information with NCR Retail Online.
 
 

Method

Specify how to assign customer orders as they are imported from NCR Retail Online:

  • Default customer: To assign orders to the Default customer specified on the Orders tab. This method does not allow you to track individual NCR Retail Online customers in Counterpoint.
  • Auto-assign: To assign orders to the corresponding customer record in Counterpint. If no customer record exists, Counterpint will automatically create a new customer record. This method allows you to synchronize your customers between your physical store and your online store. If you want to allow customers to use their A/R accounts online, you must select Auto-assign.

Publishing customer records from Counterpoint to NCR Retail Online will always set up each customer with a separate account in your online store.

TIP: Auto-assign is the most commonly used customer number method. Auto-assign is the only method that creates a unique customer record in Counterpoint for each NCR Retail Online customer. If you upload customers from Counterpoint to NCR Retail Online, your customer Method must be Auto-assign in order to keep the Counterpoint records and the NCR Retail Online records in sync.

Next customer #

Specify a value to use as the next customer number (e.g., WEB-000001). When Counterpoint creates a new customer record from data imported from NCR Retail Online, this number is automatically assigned to the new customer record, and is then incremented by one (e.g., WEB-000002).

Make sure that the Next customer # you specify here does not overlap with the Next customer # specified inSetup / System / Workgroups.

TIP: This field is only enabled if the customer Method is Auto-assign.

Template customer

Enter the customer number to use as the template customer. For help setting up a ecommerce template customer you can look here: Ecommerce Template Customer.

TIP:This field is only enabled if the customer Method is Auto-assign.

Template method

Specify the method to determine how any default values that are not imported from NCR Retail Online—including customer type (i.e., Cash), discount %, and tax code—will be set for each new customer:

  • <Template customer>: To copy default values for each new imported customer record from the Template customer you specify.

TIP: This field is only enabled if the customer Method is Auto-assign.

Add ship-to to tax code

Specify whether to add the appropriate ship-to state to the base tax code assigned to each new customer. In most cases, this box should NOT be checked.

TIP: This field is only enabled if the customer Method is Auto-assign.

Customer report

Specify whether you want to print, preview, or skip the Customer report when you import customer information from NCR Retail Online:

  • Prompt user to preview: To prompt the user to preview the Customer report
  • Preview automatically: To automatically preview the Customer report
  • Prompt user to print: To prompt the user to print the Customer report
  • Print to default printer: To print the Customer report to the default printer
  • Skip: To skip the Customer report

TIP: This field is only enabled if the customer Method is Auto-assign.

Initial password

This setting is obsolete, for NRO.

Set customer name from

Specify how to determine the customer name for each online customer that is created from Counterpoint customer records:

  • Customer name: To use the NCR Retail Online customer name as the Counterpoint customer name
  • Company name: To use the NCR Retail Online company name as the CounterPoint customer name

TIP: We recommend the Name format to be set to Customer name.

Tax code

Specify one or more Tax exempt tax codes to determine which customers are tax exempt when you publish customer information to NCR Retail Online.
 
 

Orders

On the Orders tab, define how NCR Retail Online orders are imported into Counterpoint.

Field-Level Details Store

Orders will be imported into the Store specified on the Main tab.
 

Station

Enter the station from which you will import orders. The station (or store, if ticket numbers are determined by the store) must be configured to auto-assign ticket numbers.

Drawer

Enter the drawer into which you will import orders.

TIP: Set up a drawer to be used only for ecommerce. This will give you some basic reporting. Also, with NRO, you can schedule a task to automatically import orders into Counterpoint. The import process, however, will need access to the drawer being used for ecommerce. Therefore, if someone is in the ecommerce drawer, the automatic import process can't occur.

Default customer

Enter the default customer under whom orders will import. All orders imported from NCR Retail Online will be assigned to this customer.

TIP: This field is only enabled if the customer Method is Default customer.

Base tax code

Enter a tax code called WEB. The "WEB" tax code should be mapped to a non-taxable tax authority. For more information about creating tax codes for the web orders, please watch our, "Setting up Web Tax codes" training video.

Add ship-to to tax code

Specify whether to add the order's ship-to state to the base tax code. In most cases, this box should be checked.

Tax method

Select the tax method to use on orders imported from NCR Retail Online:

  • Imported: To accept the tax that is imported with the order
  • Calculated: To have Counterpoint calculate tax during import

 

WARNING: If you choose Imported for the tax method, the tax that was calculated online is imported for the order. If that tax is different than the tax that would be calculated in Counterpoint using the tax code assigned to the order, the tax is marked as an override during the import with a reason code of NRO. Select Setup / Point of Sale / Reason Codes to create a NRO reason code that is valid for tax and/or price overrides.

Price method

Select the method Counterpoint will use to determine item prices:

  • Imported: To use the item price imported with the order
  • Calculated: To calculate the item price during import
WARNING: If you choose Imported for the price method, any price that is changed during the import will be marked as a price override with a reason code of NRO. Select Setup / Point of Sale / Reason Codes to create a NRO reason code that is valid for tax and/or price overrides.

Insufficient qty method

Select the method Counterpoint will use to handle insufficient quantities:

  • Override: To place an order for the full quantity, regardless of availability
  • Backorder all: To backorder the full quantity

Record freight as

Select the miscellaneous charge assigned to freight charges in Setup / Point of Sale / Control.

Orders report

Specify whether you want to print, preview, or skip the Orders report when you import orders from NCR Retail Online:

  • Prompt user to preview: To prompt the user to preview the Orders report
  • Preview automatically: To automatically display the Orders report in the preview window
  • Prompt user to print: To prompt the user to print the Orders report
  • Print to default printer: To automatically print the Orders report to the default printer
  • Skip: To bypass printing or previewing the Orders report
 

Ship-via

On the Ship-via tab,map the ship-via codes in Counterpoint to the different delivery methods available for NCR Retail Online orders.

Enter the ship-via code that corresponds to each shipping method that you want to use for online orders. You don't need to enter a ship-via code for shipping methods that you will not use in your online store.

 
WARNING: Ship-via codes must first be defined in Counterpoint using Setup / System / Ship-via Codes (only ship-via codes that are marked as Valid for customer are eligible).
 
 

Payment

On the Payment tab, indicate a pay code with a type of "cash." Map this Pay Code into the PayPal field. This pay code is the ONLY pay code utilized by NRO. The other fields are obsolete, for NRO.

The pay codes available are those that you have already defined in CounterPoint (in Setup / System / Pay Codes).
 
 
 
Payment is authorized through your NCR Secure Pay account from within your NRO Admin Panel.
 

ADT

Publishing ecommerce data is the method of transferring items, orders and customers from Counterpoint to NRO. Your ADT tab affords you the ability to configure the publish codes that will be utilized every 30 minutes, which means you can "set it and forget it." Your ADT tab is one that should be configured, after you set up your ecommerce data.
